4. Third-party test your samples in your country. For EU-bound products, always run a full pesticide residue panel independently on your first order. For colour-critical applications, run a colorimetric analysis to confirm Lab* values against your colour standard.
5. Evaluate samples organoleptically — colour, aroma, taste, texture, and dispersibility in water for powder products; rehydration quality for flakes. Sensory evaluation is as important as lab results for food applications.
6. Negotiate commercial terms — price, Incoterm (FOB/CIF), lead time, payment structure.
7. Place a trial order — typically 100–500 kg per product — before committing to container volumes.
8. Pre-shipment inspection — third-party inspection (SGS, Bureau Veritas, Intertek) or video walkthrough of packed goods.
9. Confirm full documentation package:
- Lot-specific Certificate of Analysis (all required tests)
- FSSAI Export Certificate
- Phytosanitary Certificate
- EU MRL pesticide compliance report (for EU buyers)
- Organic certificate (if applicable)
- Halal Certificate (if applicable)
- Allergen declaration
- Commercial Invoice and Packing List
- Bill of Lading
10. Customs classification:
- Spray dried vegetable powders: typically HS Code 2005.99 or 0712 (dried vegetables) depending on processing and destination
- Vegetable flakes: typically HS Code 0712 (dried, cut, sliced, or powered vegetables)
- Confirm exact classification with your freight forwarder
